Vacancy - Public Affairs Administrative Officer (LE3)

The Australian Embassy Beijing seeks applications from suitably qualified persons to fill the position of Public Affairs Administrative Officer (LE3) with Department of Foreign Affairs and Trade.

Selection Criteria

  • Experience in an administrative role with financial and/or contractual management.
  • High level communication, coordination and liaison skills
  • Native Chinese speaker with excellent writing skills
  • Excellent English language skills
  • Relevant IT skills, notably with Microsoft Excel.

 

About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the Position

Under direction of the Counsellor (Public Affairs and Culture) the Public Affairs Office Manager contributes to the efficient, responsive and effective management of information and coordination across the Public Affairs team for cross-Agency activities and to meet Whole of Government objectives.

 

The key responsibilities of the position include, but are not limited to:

  • Providing ministerial event logistical support including photography for portfolio and non-portfolio ministers’ visits
  • Providing public affairs administration support for cross-agency activities at Post
  • Event support for attached agencies’ media events and programs
  • Supporting contract management for events and sponsorship arrangements including procurement and implementation of contracts, minor contract variations, low-level dispute resolution, monitoring of contract milestones, payment of invoices and reconciling financial records.
  • Entering financial and other data into databases and management systems
  • Providing secretariat support including arranging meetings, managing invitations, preparing documents and taking minutes.
  • Working under tight deadlines to help coordinate and consolidate information on high profile events and urgent issues.
  • Providing broad administrative support including filing, facilitating visitors, arranging travel, logistics and events.

 

Qualifications/Experience

  • Experience in an administrative role with financial and/or contractual management.
