AFP Office Manager (LE5)
The Australian Embassy Beijing seeks applications from suitably qualified persons to fill the position of AFP Office Manager (LE5) for one year with Department of Australian Federal Police.
The position is part-time consisting of up to 20 hours per week. Flexibility in total work hours up to this amount is possible if desired by potential applicants and acceptable to the agency.

Selection Criteria
Applicants should address all six (6)) of the selection criteria below, clearly outlining their claims and specific experience that makes them suitable for this position (maximum 2 pages).
- Ability to obtain and maintain a high level Australian Government security clearance
- Proven high level financial management experience and/or qualifications/training including annual budgets, monthly forecasts, reconciliations and FBT reporting
- Prior administrative experience and/or qualifications/training. Demonstrate experience managing administrative tasks of an office, working in a small team environment and managing multiple tasks in an independent and timely manner
- Proven knowledge of Microsoft Office Excel and Agency specific systems (AFP)
- Well developed interpersonal and communication (written and oral) skills
- Liaise, collaborate and build partnerships with key high level embassy and AFP stakeholders to initiate, create and put into action new and revised initiatives to ensure a whole of Government approach

About the Australian Federal Police (AFP)
The Australian Federal Police (AFP) is a national police agency and with the ability to combat transnational crime. It works closely with its partner agencies both in Australia and overseas to combat all forms of criminal activity from child sex offences to tax evasion, drug smuggling and terrorism.
About the position
Under general direction, the AFP Office Manager is responsible for managing and coordinating all administrative, office and personnel functions to support the Australian Federal Police (AFP) operation in Beijing.
The key responsibilities of the position include, but are not limited to:
- Manage the AFP Beijing Post budget including annual budgets, monthly forecasts and, reconciliations and FBT reporting. This may extend to the AFP Manager Asia’s area of responsibility and capacity building projects in China;
- Provide briefings, advice and expertise to the AFP Manager Asia on a range of financial, administrative and personnel issues
- Manage administrative requirements with AFP specialised ICT and reporting systems, including a strong working knowledge of Microsoft Office products, especially MS Excel.
- Undertake the facilitation, coordination and delivery of local and corporate projects
- Provide and manage human resources for AFP personnel including management of leave, performance appraisals and agreements; and maintain employment contracts through DFAT and external recruitment partners; in line with policies and procedures.
- Facilitate and contribute to whole of AFP corporate reporting requirements
- Work autonomously in managing the administrative requirements of AFP, including office administrative tasks, organise and manage AFP travel, maintain the asset register, as well as organising the purchase and disposal of assets
- Liaise, collaborate and build partnerships with key high level embassy and AFP stakeholders to initiate, create and put into action new and revised initiatives to ensure a whole of Government approach
- Coordinate and providing mentorship on high level official visits and events, providing logistical and administrative support, anticipating and identifying potential issues and obstacles, and ensuring goals are achieved despite setbacks
- Contribute to the development of the AFP business plans to meet AFP strategic targets.
Qualifications/Experience
- Ability to obtain and maintain a high level Australian Government security clearance
- Proven knowledge of AFP investigations/management systems, Microsoft Office Excel to the technical level
- High level written and oral communication skills, Chinese language skills desirable
- Proven high level financial management experience, human resource management and administration experience and/or qualifications/training
- High level interpersonal and written skills, ability to work well under pressure in a small team environment, whilst managing multiple tasks
- Project management skills
- Training and/or experience with Australian Government security and workplace safety processes and legislation.
